Job Descriptions

  • Prepare the purchase orders, receiving, storing, issuing the goods, managing the stock levels and giving out the supplies from the stock;
  • Preparing the inventories, maintaining the stock records, using computerized systems for entering the records and is accountable for checking the supply invoices with the purchase orders;
  • Preparing the reports on adjustments done to inventories that may be damaged, spoilt, etc., and coordinates the purchasing, inventory and warehousing functions;
  • Makes sure to get rid of the surplus or obsolete stock
  • To maintain record of receipts as well as issuance of items that is going out of the warehouse so as to ensure accuracy and completeness.
  • To undertake the function of stock taking and confirm the periodic stock on a regular basis by working closely with the designated staff members;
  • To supervise the offloading process, the subsequent arrangement of merchandise, material, etc., and consignment so that it can be accessed and identified easily;
  • Oversees the cycle counting programs for the distribution centres as well as the stores.
  • He / she develops, maintains, and adopts the best operational procedures and practices for inventory control.
  • He / she tries to find out discrepancies and determines the root cause for the issue found.
  • Finds out sources of supply and is responsible for obtaining quotes from the suppliers as well;
  • Maintain relationships with the supplier and monitor performance against service level agreement
  • Promote invitations to tender taking into account the requirements of stakeholders.
  • Maintain an up-to-date supplier database processes to facilitate, transparent quotation processes and tender processes.
  • Attract and retain standard suppliers to build a competitive supply advantage.
  • Negotiate with suppliers to agree contract terms and conditions that will achieve the interests of the organisation.
  • Appraise vendor manufacturing ability through on-site visit and inspection.
  • Evaluate potential suppliers’ prequalification or pre contract assessments using pre-qualification criteria or processes and make recommendations.
  • Analyse the use of competition, direct negotiation or joint proposition improvement for the sourcing of supply categories and use as appropriate.
  • Review contracts and recommend appropriate actions to be taken in the event of any default or breach of contract


  • Minimum of Bachelor’s Degree or equivalent in appropriate disciplines such as Inventory, Accounting, Logistics etc. with 5- 7 years experience
  • Ability to work effectively in a fast-paced work environment
  • Good analytical and organisational skills with experience in project management would prove an advantage.
  • Excellent oral and written communication skills
  • Detail oriented with basic mathematical skills
  • Working knowledge of quality system requirements
  • Clerical and administrative work with good planning and numeric skills.
  • Experience with Ms Word, Excel, Project Management and Analytics software
